How to flatten a PDF form before email

Updated September 2026 · Turn filled fields into page content so the answers you typed are what the other person sees — and cannot quietly change.

A filled PDF form is still a form. The boxes you typed in are data sitting on top of the page. Some viewers show that data; some print a blank; a determined recipient can change a number and send the file on. Flattening burns the appearance of those fields into the page (or otherwise makes them non-editable). This page is that lock-for-email path. It is not a guide to breaking someone else’s certified form, and it is not password-protection — for an open password on a file you already control, use password-protect a PDF after you flatten, if you still need both.

Why flatten a filled form

Do not flatten if the recipient must keep typing (a form you are routing for the next signature), or if you still need to correct a field tomorrow and this is your only copy. Flatten a send copy.

Keep the original. Always keep an unflattened master — the file where fields still open and calculate. Flattening is one-way for practical purposes. If you save over the only filled form, you cannot fix a typo without retyping the whole packet.

Acrobat and desktop flatten

Adobe Acrobat (Pro, in most builds) is the cleanest common path: fields become static text or vectors, and the rest of the page stays searchable. Other desktop editors offer “flatten form fields,” “flatten layers,” or a preflight profile. Names move; the test in Prove it locked does not.

  1. Finish every field on the master. Save the master. Duplicate it.
  2. On the duplicate, look for Print Production / Preflight flatten, a Forms → Flatten command, or “Flatten form fields” under a PDF optimizer. Some versions use a JavaScript-style Flatten Pages action. If you only see “Secure” or “Encrypt,” that is a password, not flatten.
  3. If the app offers to flatten comments and layers separately, flatten form fields for sure. Flatten comments only if those markups must travel as ink, not as sticky notes someone can delete.
  4. Export or Save as a new name (application-flattened.pdf).
  5. Close the file. Open the new file and click where a field used to be. The cursor should not offer a text widget.

Reader-only Acrobat and many free viewers can fill a form and cannot flatten. Filling and saving in Reader may still leave live fields. Plan on Pro, another editor with a flatten command, or print-to-PDF with the caveats below.

Preview (and why it feels unfinished)

macOS Preview can fill many AcroForm fields and save. It does not give you a labeled “Flatten form” button. People discover this after a recipient opens the file on Windows and the boxes are empty or still editable.

If you have access to Acrobat or another editor with a real flatten, use that for anything with calculations, radio groups, or a signature field you need to remain visually crisp. Preview’s print path is the fallback, not the preferred lock.

Print-to-PDF caveats

Print-to-PDF (Preview, Chrome, Edge, Windows “Microsoft Print to PDF”) is the flatten you have when you have no flatten. It is also how people wreck a form they meant to keep searchable.

Chrome’s “Save as PDF” of an already-open PDF is not always the same as the system print dialog. If values disappear in the preview, cancel and use Preview/Acrobat. Never send a print-to-PDF you have not opened locally.

Keep an unflattened master

Store two files on purpose:

Correct a typo on the master, flatten again, and replace the send copy. Do not “unflatten” the send copy — that is not a real workflow. If you also need a smaller attachment, compress the send copy with a mild quality-aware pass, never the master. If the packet has extra pages the recipient should not see, delete or extract on a copy before you flatten, so you are not locking in blanks.

Prove it locked

Do this in a different app than the one that wrote the file, if you can:

If a field is still live, you saved the master or you used Export-without-flatten. If everything is an image and a signature looks like oatmeal, the print path was too harsh — redo from the master. The email should attach the send copy only.
