Compress PDF without wrecking readability
Compression is a trade: fewer megabytes in exchange for some image detail. Text-heavy PDFs with real fonts often shrink a little. Photo-heavy scans can shrink a lot — and that is where readability dies if you smash everything to “maximum compression” in one click. Use this checklist instead of chasing the smallest possible file. If your priority is keeping type and photos looking close to the original, follow Compress PDF without losing too much quality.
Why PDFs get huge
- Scans saved as uncompressed images. A phone photo of each page, exported at full resolution, is the usual culprit.
- High DPI with no reason. 300 dpi is plenty for most paper forms. 600 dpi is for archival or tiny print, not email.
- Embedded fonts, unused images, and dead layers. Design exports and slide decks carry assets you never see on the page.
- Merged packets. Merging several scans multiplies the problem. Compress after the packet is in the right order.
Pick a size target, not a quality slogan
Start from the limit in front of you: many email systems struggle above 10–25 MB, and some government or school portals cap uploads at 2–5 MB. Those are examples of real-world ceilings, not a promise that your portal uses the same number. Read the form. Then work backward:
- If you are under the limit already, stop. Extra compression only adds risk.
- If you are slightly over, try a medium image downsample first.
- If you are far over, you may need to split the packet or rescan, not just recompress the same giant images.
Do not trust “lossless” marketing. Some tools recompress JPEGs inside the PDF. That is lossy even if the label says otherwise. Judge the pages, not the adjective.
Practical compression checklist
- Keep an untouched original. Compression is not always reversible in a way you will like.
- Confirm the PDF is the right document. Compressing the wrong draft wastes a round of uploads.
- Remove unused pages first. A 40-page scan of a 8-page form is a size problem pretending to be a compression problem. Use split or extract.
- Flatten or discard hidden layers only if you no longer need them (comments, markup, optional content).
- Downsample color photos more aggressively than black-and-white text. Grayscale scans of letters should stay sharp.
- Prefer “reduce image quality” over converting the whole file to a handful of giant JPEGs unless it is already a scan-only document.
- Avoid converting to Word and back “to make it smaller.” That path is for editing, and it often wrecks layout. See the PDF to Word checklist.
- If the file contains fillable fields you still need, test them after compression. Some tools flatten forms.
Online vs desktop
Desktop (preferred for private files)
- Open the PDF in Preview (Mac), Microsoft Print to PDF (Windows, as a reprint at a lower quality), or a PDF app with a Reduce File Size / Optimize command.
- Choose a preset aimed at email or web, not “printer quality,” unless you are actually printing photos.
- Export to a new filename such as
application-email.pdf.
On a Mac, Preview’s export dialog lets you adjust image quality. On Windows, reprinting through Microsoft Print to PDF can shrink some files but may also rasterize text — always inspect a page of small type afterward. A dedicated optimize command is gentler when you have one.
Online
Use online compression only for files you would be comfortable emailing to a stranger. Check the stated file-size cap and whether an account is required after the first job. There is no honest “forever free, unlimited, no quality loss” option; if a site says that, treat it as advertising, not a specification.
Readability checks after compression
Open the new file at 100% zoom on a laptop, not only on a phone thumbnail.
- Body text is crisp, not muddy or haloed.
- Tables: thin rules and small numbers are still separable.
- Photos of IDs or receipts: names, dates, and barcodes still read.
- Search still works if the original had real text (not only a picture of text). If search died, you rasterized the file.
- Page count matches the original unless you meant to drop pages.
- Color is optional; contrast is not. A gray-on-gray scan that looked fine in color can fail after grayscale conversion.
If a page fails, recompress from the original with a milder setting, or split that page into a separate higher-quality file. Sending two files that can be read is better than one file that cannot.
